How a Greenscape Design Consultation Works

Every project starts with a conversation. Whether you're outfitting a hotel lobby, planning a seasonal display, or bringing greenery into a new office space, Greenscape's design consultation process is built to take you from concept to completion with nothing left for you to coordinate.

Understanding Your Space

We begin by understanding your space, your timeline, and your goals - most consultations start with a few photos of your space and a phone or video call, with an in-person site visit arranged when the scope calls for it. From there, our design team develops a concept and product recommendations tailored to your budget, followed by a detailed proposal and quote.

Fabrication & Installation

Once approved, every piece is custom-fabricated in-house to your exact specifications, including UV protection, fire retardancy, and weather resistance where needed. Our installation team handles setup from start to finish, managing logistics, safety, and building code compliance so you don't need to bring in a separate crew.

Ongoing Care

For purchased pieces, we provide simple care guidance to keep your greenery looking its best for years to come.

Rentals & Pickup

For rentals - events, seasonal activations, or short-term installations - we handle scheduled pickup and teardown as part of the service.

01Inquiry and First Contact

Every project begins with you reaching out.

Fill out the form at the top of this page, call, or email, and a member of the Greenscape team will follow up to start the conversation.

Once we connect, we will ask for photos of your space or event venue and schedule a phone or video call to discuss your project in more detail. For projects requiring a more detailed assessment, a site visit can be arranged.

02Design Consultation

Once we have a clear picture of your project, we move into the design consultation. This is where we dig into the details of your space, your goals, and your budget.

During this stage, we will cover:

  • The nature of your project (permanent commercial, seasonal, or temporary event)
  • Your space or venue dimensions, lighting conditions, and traffic patterns
  • Your aesthetic direction, brand feel, or event theme
  • Your timeline and any installation or access constraints

03Preliminary Design Concepts and Budget

Based on the consultation, our team develops preliminary design concepts and a budget for your review. This gives you a clear picture of what the finished project will look like and what it will cost before any commitment is made.

At this stage, you will receive:

  • Initial design concepts tailored to your space or project goals
  • Product recommendations (plant selections, decor, containers, structural elements)
  • A preliminary budget breakdown
  • An indicative project timeline

04Design Approval, Deposit, and Detailed Planning

Once you approve the design concepts and budget, and a 50% deposit is received, the project moves into detailed planning. At this stage, we finalize all specifications, develop detailed renders where applicable, and confirm all procurement requirements.

What we need from you

You know your space best. Before installation, please share any building code, fire code, or compliance requirements specific to your property or venue. Greenscape will meet the standards you provide. As every property is different, it is your responsibility to advise us of the requirements that apply to your space.

05Design and Fabrication

With the design approved and deposit received, our team moves into fabrication. This is where Greenscape's in-house production capabilities set us apart. We do not simply source products from a catalogue and drop them off. We curate, design, and locally fabricate custom pieces in our Burnaby warehouse, built to your exact size, shape, colour, and safety specifications.

  • Sourcing and selecting plant specimens for your environment or event
  • Custom fabrication of greenery pieces, trees, green walls, floral walls, and specialty decor items
  • Container and vessel fabrication or procurement

06Delivery and Logistics

Greenscape manages all logistics from the Burnaby warehouse to your location. Our team coordinates directly with your designated contact to ensure delivery fits your schedule and any site or venue requirements.

Key logistics details

Delivery is coordinated to align with your operational schedule or event timeline. Evening and weekend delivery is available where needed (additional fees may apply for non-standard hours). We confirm all delivery windows in writing and communicate any changes promptly.

07Professional Installation

Our installation team arrives on the agreed date and handles the full setup. You do not need to manage placement, positioning, or assembly. We bring everything needed to complete the installation.

  • Places and positions every plant and decor piece according to the approved design plan
  • Makes on-site adjustments to optimise for lighting, traffic flow, safety, and visual impact
  • Secures and weights containers and structural elements where required as part of the project scope

08Project Completion

The final stage differs depending on your service line.

For commercial greenery installations

Your installation is complete and intended to remain in place for years. Greenscape offers an optional annual maintenance program including cleaning, reshaping, and replacement of damaged items. Contact the team to discuss ongoing maintenance for your space.

For event and film rentals

At the conclusion of your event or production, Greenscape returns to the venue to handle full teardown and pickup. Our team removes all rented items and clears the space according to the agreed schedule. Teardown and pickup timing is confirmed in advance and coordinated with your venue or production schedule.
